How SOMOS helped WellData create a memorable weekend for 40 guests – without the usual organisational headaches.
There’s a version of the office Christmas party that everyone recognises.
A hotel ballroom that could be anywhere. A three-course meal that takes two hours longer than it should. An awards ceremony that goes on slightly too long.
Everyone politely grateful. Nobody particularly moved.
WellData wanted something different.
They wanted a celebration their people would genuinely look forward to. Something that felt like a proper thank you for the year, rather than another corporate event in the calendar.
And just as importantly, they wanted the people organising it to be able to enjoy it too.
The brief: More than a Christmas party
The idea was to bring 40 guests together for a full weekend.
Friday arrivals, a relaxed Saturday with time to explore, a black-tie celebration in the evening and a private Sunday breakfast before everyone headed home.
The venue needed character, accommodation on-site and an atmosphere that felt special without being stuffy.
But finding somewhere beautiful was only part of the challenge.
There were 40 people to accommodate and cater for, invitations to manage, responses to chase, dietary requirements to gather and meal selections to coordinate.
All the little details that make an event run smoothly, but can quickly become another full-time job for the person tasked with organising it.
That’s where SOMOS came in.
The right setting makes all the difference
We found WellData a heritage venue with the kind of character that does half the work before anyone walks through the door.
The sort of place that makes people stop in the entrance hall and feel like their weekend away has already begun.
With accommodation on-site, beautiful surroundings and space for everyone to spend time together, it gave us exactly the atmosphere we were looking for.
But we didn’t want the weekend to feel like one long, organised corporate function.
Quite the opposite.
A weekend designed around the people attending
Friday was deliberately relaxed.
Guests arrived at different times, settled into their rooms and enjoyed an informal buffet. No rigid agenda, no pressure to be anywhere at a particular time.
Saturday was theirs to enjoy.
We put together a walking guide and local recommendations so guests could explore the area, spend time with their partners or simply relax.
And that freedom was intentional.
Not every moment of a successful event needs to be programmed. Sometimes, giving people the space to enjoy themselves is what makes the whole experience work.
Saturday Evening – by the time everyone came together for the black-tie evening, the atmosphere was already warm and relaxed.
People had spent time together, conversations were flowing, and the celebration felt like a natural continuation of the weekend rather than a formal company function.
The evening brought together dinner, awards and entertainment, including musical bingo and a house of sweets that proved you don’t always need an extravagant idea to create something people love.
It was fun, personal and full of character.
On Sunday, everyone came together for a private breakfast before heading home.
A lovely way to finish a weekend that had been about much more than a Christmas party.
All the detail. None of the headache.
Here’s the thing about events that feel effortless.
Behind the scenes, there’s usually an enormous amount of organisation making them feel that way.
For WellData, we managed the guest administration from start to finish.
Invitations, RSVPs, accommodation arrangements, dietary requirements, meal choices and guest information.
Forty people, each with their own requirements, all needing to feel looked after.
Our job was to make sure the details were taken care of, questions were answered and everything came together without the client having to constantly check what was happening next.
Because the person responsible for organising a company celebration shouldn’t have to spend the entire event worrying about whether everyone else is having a good time.
They deserve to enjoy it too.
The best feedback wasn’t about the venue or the entertainment
Of course, we wanted everyone to love the weekend.
But some of the most meaningful feedback came from WellData’s then HR Director…..
Marion told us how welcome it had been to finally switch off and enjoy the weekend with her partner and colleagues, knowing everything was in hand.
It was something she’d never really been able to do at previous company events.
And for us, that said everything.
Because yes, the venue was beautiful. The entertainment went down brilliantly. And the weekend was a real celebration.
But the fact that the person who would normally be thinking about everyone else’s experience could relax and enjoy her own?
That’s exactly the difference we want to make.
A relationship built on trust
Well Data have now worked with us across more than one project, and we don’t take that continued trust for granted.

They’re trusting someone else with their people, their budget and their reputation.
Our job is to make that trust feel well placed.
To think about the things they haven’t had time to think about. To anticipate the questions before they become problems. And to make the whole experience feel easier, both for the guests and for the people behind it.
A great event should be memorable for the right reasons
For the people attending, that means feeling looked after, having a brilliant time and leaving with stories to tell.
For the person organising it, it means being able to step away from the logistics and actually be part of the experience.
