An Awards Night That Put People First

Creating a memorable celebration for Primary Care Doncaster through thoughtful planning, creative choices and seamless event management.

The brief

For Primary Care Doncaster, the annual awards evening was about one thing: recognising the people making a difference across local GP practices and primary care teams.

It was an opportunity to bring colleagues together, celebrate achievements and thank the people whose work supports communities across Doncaster.

The evening needed to feel special, but not extravagant. Warm, welcoming and celebratory, with a sense of occasion that reflected the importance of the people being recognised.

And with a carefully managed budget, every element needed to earn its place.

The challenge was to create an awards evening that felt genuinely special without unnecessary expense.

Finding the right setting

The venue would set the tone before a single award was presented.

We sourced an Art Deco hotel ballroom in central Doncaster, a space with beautiful period features and plenty of character.

It offered the sense of occasion the client wanted without the need for elaborate additional decoration.

Guests could dress up, walk through the doors and immediately feel that they were somewhere special.

Sometimes the right venue does much of the work for you.

A celebration with personality

Rather than following the traditional awards dinner format, we developed an evening that felt relaxed, sociable and welcoming.

A curry night offered a more informal approach to dining, encouraging conversation and creating an atmosphere that suited both the guests and the budget.

Around that, we built an evening with plenty of personality.

  • Red carpet arrival and welcome drinks gave guests a sense of occasion from the moment they arrived.
  • A relaxed dining experience encouraged colleagues to socialise and enjoy the evening together.
  • The awards ceremony kept the focus firmly on recognising the achievements of local primary care teams.
  • A photo booth gave guests an opportunity to have fun and capture memories.
  • A DJ and dancing kept the celebrations going after the awards.

Every element was chosen to contribute to the experience, rather than simply fill the programme.

The result was an evening that felt celebratory without being overly formal.

Getting the details right

The success of an awards evening depends just as much on what happens behind the scenes as what guests experience on the night.

From arrival and welcome drinks to catering, entertainment and the awards ceremony itself, the evening needed to flow naturally.

We paid particular attention to guest movement, timings and the running order, helping avoid unnecessary queues and interruptions.

Because even the most beautiful venue and carefully planned entertainment can lose their impact if guests spend too much time waiting.

Good event management is often about the things guests never notice.

From planning to the final applause

Our involvement went well beyond finding the venue and developing the concept.

We managed the event from initial planning through to delivery, taking responsibility for:

  • Venue sourcing, negotiations and liaison
  • Guest invitations and attendance coordination
  • Catering negotiations and menu arrangements
  • Entertainment sourcing and bookings
  • Awards ceremony planning and running order
  • Supplier management and event logistics
  • Guest flow and event timings
  • On-site coordination and delivery

With one experienced point of contact overseeing the different elements, the Primary Care Doncaster team didn’t need to manage multiple suppliers or troubleshoot issues throughout the evening.

And when plans needed adjusting, we were there to find solutions and keep everything moving.

The aim was simple: allow the people organising the event to enjoy it just as much as the people attending.

The result

The evening brought together colleagues from across Primary Care Doncaster for a celebration that balanced recognition, enjoyment and value for money.

The Art Deco setting created a sense of occasion, while the informal dining, entertainment and welcoming atmosphere helped guests relax and enjoy themselves.

But one of the most meaningful outcomes was that the organising team could be part of the celebration rather than managing it from the sidelines.

As Beth Hollis, Communications & Events Officer at Primary Care Doncaster, explained afterwards:

“Julia took the pressure off our team not only during the planning stages, but on the night too, so that we could experience the event like all our other staff who attended.”

Beth also highlighted the value of having an experienced event professional who could anticipate challenges and respond quickly.

“She has the knowledge, experience, and connections, meaning even when things didn’t go to plan, there was a quick turn around and new options to consider before we even had the chance to worry.”

And perhaps the nicest feedback of all:

“An amazing event and great night had by all – thank you so much SOMOS Collective”

For us, that’s what successful event management should deliver: a memorable experience for guests and complete peace of mind for the people organising it.

Making recognition meaningful

Awards evenings are an opportunity to do something important: acknowledge the people whose work makes a difference.

That doesn’t necessarily require an extravagant budget or an elaborate production.

It requires understanding the audience, making thoughtful decisions and creating an environment where people feel genuinely appreciated.

For Primary Care Doncaster, that meant an elegant setting, an informal approach to dining and an evening designed around the people being celebrated.

Because the best awards evenings aren’t about how much you spend. They’re about how you make people feel.
